Notes for Contact Tracing Debrief 1/15/2021

System update:

Trace Force is seeing a lot of errors as of right now. There is the update going on from 1-2pm today. They are trying to handle the system errors we have been seeing as of lately.

Contacts not receiving texts:

Verizon and T-Mobile blocked our number that we send our text messages from. This was from a corporate level from these corporates. Verizon is now allowing the automatic text messages to go through. We are still waiting on T-Mobile to release the block.

What should contacts be looking for in the text messaging?

25051 is the number that they will receive the text from. There will be a link they click, and it will send them to the online survey.

Information Tile not completed:

Phone number and email should be put into the information tile. The phone number and email if entered in the script should auto populate into the information tile. You can also change the information in there as well. Example: phone number/emails/age/ etc…

Coming across an end date that is excessive?

Lets make sure that these are escalated to the supervisor so they can send it for the local health department so that they can escalate it to get the correct date. It may have been entered incorrectly when we received it. We have seen a couple with the end date of year 2022.

Scripting:

Scripting is not planning on going through any updates. It is in its final form. We just want to make sure we are using it as a guideline. We don't have to follow word for word, but we want to make sure we hit all the key points. For example, if we are talking with a child who is 3 years old, we wouldn't have to say exemption letter for work.

No contacts in que:

Yes it has been slow throughout the month. We will see the "no contacts in que" more throughout later in the day. The busier time will be in the morning for getting more contacts.

A contact says that they have been isolating already so the dates aren't accurate:

Best thing to do is to reach out to your shift supervisor so that they can escalate the situation so that the local health department can follow up with the contact.

Calling house holds:

We do NOT want to click on each individual. This is causing a re que issue. We want to make sure that we are following the diagram in the handbook in order to stop the re queuing issue.

Thank you and I hope you all have a wonderful night.

2/1/2021 Debrief Notes

Questions:

Volunteers would like to be tagged in the chatter instead of just going to the link in the email.

-addressed last week. DHHs said that they will make a powerpoint to address the tech issue that happens with the link.

If they take a Break while queue is empty can we tag them to let them know that there's contacts back in queue?

-We reach out to volunteers as the demand for them increases

How many are paid and working at the same time as volunteers?

-150-160 CTS while the number of volunteers vary.

Peter Tech Updates:

February 4th , 2021

New version of Trace force, Overnight on 2/4/21…. Friday morning (2/5/21)  the changes should be live.

Changes

Skipped page 7 since it's not for volunteers.

CDC has previewed guidance as Pre-Release, but has not published it yet. Only minor changes might be made prior to publication, but this Is not official or binding.

Minor Script changes, and question order changed slightly

March update at best will include a question pertaining to if they're fully vaccinated, if they are then the new outcome will be "Fully Vaccinated" and they will be removed from TraceForce

Interested to know if contact had to leave during quarantine, and there's follow up questions if they say yes. The purpose of this question is to help target resources so fewer people feel compelled to leave during their quarantine. Depending on their reason as to why they left we hope to provide more resources to prevent this from happening.

Volunteer Debrief Recap Notes 2/05/21

By Margaret Spens

Brittnee Puttman:

  • Raffled off prizes: Winners are Kathy Humphrys and Patrick VanNordstrand

Note Taking:

  • Please make sure we are writing the parent/guardians name in the notes.
  • Templates: The template is not needed if the outcome is no answer or left message. If the portion of the template is unnecessary then please do not put it in the note.

Script Updates:

  • The ongoing script asks contacts if they have been staying home during their quarantine period.
  • This is to collect data and see how many people are leaving and why are they leaving. (For example: The contact left to pick up groceries because they couldn't have them delivered.

Clicking:

  • MDHHS wants us to click talk to next contact every 5 minutes.

Chatter:

  • Volunteers can use Galaxy Digital or the Daily Schedule to access the link for chatter. If any volunteers are having issues getting in, they can call the supervisor hotline for further guidance.
  • It is okay for volunteers to request a tag after they have found chatter through the links, so they don't lose the chatter.
